Schedule a Meeting Across Time Zones
Compare Sydney, Los Angeles, and London at a glance - then create a calendar invite in seconds.
How to schedule a meeting across time zones
- 1 Review the preloaded cities. Sydney, Los Angeles, and London are loaded by default - a common combination for Asia-Pacific, US West Coast, and European teams.
- 2 Swap or add cities. Click any city name to replace it, or use + Add timezone to add up to two more locations.
- 3 Set the date. Use the date picker to jump to the day you need. Daylight saving offsets apply automatically.
- 4 Slide to find the right time. Drag the slider until all cities show green or amber. Avoid red - that means someone gets a late-night call.
- 5 Send the invite. Click Create Meeting to open a pre-filled event in Google Calendar, Outlook, or Teams, or download a .ics file to attach to an email.
Sydney, Los Angeles, and London - the hardest three-way overlap
Sydney and Los Angeles are separated by 18–19 hours depending on daylight saving, making a true working-hours overlap nearly impossible. The most practical approach is finding a time that is reasonable rather than ideal - typically early morning Los Angeles (which is late afternoon or early evening Sydney) while London is just starting its workday.
A 7 am Los Angeles slot lands around 4–5 pm Sydney and 3–4 pm London, which is often the closest you can get to a mutually acceptable time. Use the slider to experiment and let the colour coding tell you what each city thinks of the proposed hour.

Add your team's cities to the planner, drag the time slider to a slot where everyone shows green or amber, then click Create Meeting. The invite opens directly in Google Calendar, Outlook Web, or Teams - or download a .ics file if you prefer.
The colour-coded timeline makes this easy. Red means late night, amber is early morning or evening, and green is standard working hours. Simply avoid any time where a city shows red.
